FINANCE AUTOMATION

Finance systems built and running, not proposals.

 

New Ventures builds custom finance applications with AI and delivers them in-house. Four are in production at client organizations today. Each closed a specific gap, and each replaced work being done by hand.

CORPORATE CARD AND EXPENSE AUTOMATION

 

400 transactions a month across multiple legal entities, coded by cardholders and corrected by finance. More than half were wrong.

 

The platform assigns entity, project and GL account without asking employees to make accounting decisions, allocates shared travel across operating companies, normalizes vendors before they reach the ledger, and produces a review-ready workbook logging every automated decision against the input it replaced.

 

Expense close: 60–75 days to 15–20. Corrections: more than half of transactions to a handful a month.

OPERATING-COMPANY FINANCE APPLICATION

 

A growing company on QuickBooks Online. The ledger was handled; contracts, reporting packages and cash forecasting were not.

 

Contracts held with their governing terms and loaded by AI extraction rather than data entry. Invoices generated from those terms and posted without re-keying. Payroll read straight from the provider's file. An eight-statement reporting package with twenty-seven built-in reconciliation checks. A leadership reporting layer anchored by a cash forecast no accounting system produces.

 

Approaching 300 hours a year recovered, roughly 200 of them the controller's.

FUND AND MANAGEMENT COMPANY FINANCE FUNCTION

 

An investment adviser and its fund in startup phase, operating before a general ledger or an administrator was in place.

 

Invoices, vendors, payroll, expense allocation, borrowings and cash in one application — reconciled against the bank rather than an accounting system, and assembling into a forecast that answers how much funding is needed and when. Allocation between management company and fund tracked live against the fund's expense cap. Payment instructions confirmed and logged before any banking details are used.

 

Bridges the period before the administrator arrives. Remains a shadow set of books afterwards.

LOAN PORTFOLIO TRACKING

 

A credit portfolio relying on a third-party servicing agent to calculate interest and principal, with nothing in place to check it.

 

Each facility's governing terms held with the investment. Interest and principal recalculated independently and reconciled monthly against the agent's statement, with accrual days and payment dates modeled to the business-day calendars the agreement names. The portfolio consolidates above the investments and exports in full, so the math can be checked outside the tool that produced it.

HOW THE WORK IS DONE

 

Architecture follows access.

Where several people need shared access, the application runs on the client's own infrastructure and is deployed by their IT team — the most common case. Where one person uses it and the data shouldn't travel, it runs locally. One runs as a single file in a browser with no server at all, because that suited who needed it. The shape follows from who needs access and where the information can live.

 

Automation moves the control — it doesn't remove it.

Every automated decision is logged against the input it replaced. Reconciliation checks run on every build. Independent recalculation is retained even where a third party is paid to compute. Where AI reads a document, a person verifies what it read before the record is accepted.

 

No licensing. No implementation vendor.

These applications carry no per-seat fees and no software licensing. A hosted deployment uses infrastructure the client already runs, plus their own IT time to release it. What's absent is the software spend and the vendor. The constraint on automating a finance function is no longer cost — it's knowing which processes to automate, how to design the controls around them, and how to make the output defensible.
